AI Engineering Automation Programme

A six-workstream AI programme for a leading manufacturer of engineered pipe supports and cryogenic products, delivered as one common AI platform rather than six separate tools.

Delivery modelAll six workstreams developed in parallel on a shared architecture
Estimated duration6–8 months across eight milestones
ApplicationResponsive web application, approximately six primary web forms
Team1 senior solution architect, 2 senior AI engineers, 2 AI engineers, 1 software tester

The six workstreams

No.AI workstreamPrimary objective
1AI for Spring Support — Pre-Order EngineeringRead customer PDF / Excel requirements; compare with the manufacturer's catalogue, global standards and historical data; identify deviations and generate standard engineering outputs.
2AI for Spring Support — Post-Order EngineeringValidate post-order engineering information against approved standards and reference data; identify deviations and generate the required engineering outputs.
3AI for Cryogenic — Pre-Order EngineeringRead customer PDF / Excel requirements; compare against approved references and generate specification, material, deviation and drawing data outputs.
4AI for Cryogenic — Post-Order EngineeringValidate post-order cryogenic engineering data against the applicable standards and reference information.
5AI for Engineering QCValidate engineering requirements and outputs against approved standards after post-order engineering, and identify deviations and mismatches.
6AI for QA DocumentationGenerate and support QA documentation using applicable historical reference documents and approved documentation structures.

The common AI workflow

Workstreams 1 to 4 share a single processing pipeline. Only the reference sources and the output templates differ.

  1. Customer files receivedPDF and Excel requirement documents uploaded through a secure web form.
  2. Read & classifyThe AI reads and classifies the requirement data inside the documents.
  3. Retrieve referencesRelevant catalogue, global standard and historical data references are retrieved.
  4. Locate pagesRelevant PDF pages and sections are identified using the document page index.
  5. CompareCustomer requirements are compared against the reference information.
  6. Identify deviationsMismatches and deviations are flagged with their source reference.
  7. Generate specificationCustomer-specific specification data is generated.
  8. Produce Excel outputsStandard material, deviation and drawing data sheets are generated.
  9. Manual reviewAn engineer reviews and corrects where required.
  10. Export & recordFinal export is produced and the audit record is written.

AI & technical architecture

  • Responsive web application with approximately six primary web forms
  • Backend-oriented architecture with common AI orchestration and reusable services
  • Multi-model AI gateway, allowing the appropriate model to be selected per workflow
  • AI API integration for document understanding, extraction, comparison and generation
  • RAG / retrieval mechanism locating relevant pages and sections in reference documents
  • Structured JSON internal data model before the final Excel outputs are generated
  • Audit trail for uploaded files, processing status, extracted results and final outputs
  • Responsive design for desktop, tablet and mobile browser access

Standard outputs

Standard outputPurposeFormat
Material Data SheetStructured material information extracted or derived from the customer requirement and reference dataStandard Excel
Deviation Data SheetCustomer requirement mismatches and deviations against the applicable standard or referenceStandard Excel
Drawing Data SheetDrawing and specification information required by the agreed engineering outputStandard Excel

Engineering QC

The Engineering QC workstream validates applicable engineering requirements and post-order engineering information against approved standards and reference information, identifies mismatches and deviations, and presents the findings for engineering review.

QA Documentation

The QA Documentation workstream uses approved historical reference documents and agreed document structures to assist in preparing the required QA documentation, with the final document list based on the examples supplied by the customer.

Scope boundary

  • AI results are engineering assistance and remain subject to review and approval by authorised engineering and QA personnel
  • Output quality depends on the completeness and consistency of the customer input files and approved reference documents
  • The solution implements agreed engineering rules; defining or altering those standards sits outside the software scope
  • The initial release targets the agreed document formats, workflows and Excel templates — additional formats are handled as change requests
  • New business rules, document types, output formats or reference systems are evaluated jointly for time and cost

Milestone structure

Because all six workstreams are developed simultaneously, milestones are not assigned to individual projects. Each milestone represents a measurable phase of the overall programme and covers progress across all applicable workstreams. Acceptance is based on demonstrable software capability and agreed deliverables — not merely the passage of a calendar month.

Month 1Architecture, detailed requirements & reference-data readinessSolution architecture, workflow mapping, data model, reference document structure and UI foundation.
M2
Month 2AI extraction & retrieval foundationPDF / Excel ingestion, document indexing with page reference, AI extraction framework and initial retrieval / RAG.

AI-Enabled Logistics Platform Programme

Eight AI initiatives layered into a live multi-service logistics platform covering Container Freight Station, customs clearance, freight forwarding and transportation.

The objective is not to create a separate AI application. Each capability is delivered as a functional layer inside the existing web and mobile applications, so users reach AI from the workflow they are already in. The initiatives are implemented progressively, prioritising those that provide the highest immediate business value.

1. AI-powered summary & report generation

Management and users interact with the platform using natural-language prompts instead of navigating multiple screens and report filters. The AI understands the request, retrieves the data, processes it and returns a summary, table, chart, graph, PDF or Excel file.

2. AI invoice data extraction — customs clearance

Document extraction across the different customer and vendor invoice types used in import and export customs clearance, converting unstructured document data into structured records for the platform.

3. AI-powered ICEGATE data extraction

Extraction and processing of ICEGATE-related documents and data for CFS import and export operations, combining API-based retrieval, document processing and AI interpretation where applicable.

4. AI-powered customer email formatting

A user supplies a rough description and the AI returns a properly structured business email in the required communication format — standardising customer communication and cutting the time spent on routine correspondence.

5. AI-powered customer support

A natural-language support interface using authorised platform data and configured business processes, so customers and internal users can self-serve routine queries about container location, shipment status and required documents.

6. AI-powered daily status report

Daily status reports generated automatically in the customer's own reporting format from the latest operational data, and distributed through the configured communication channels.

7. AI-powered company document & process assistant

A document assistant that reads SOPs, process flows and manuals — including collections running to hundreds of pages — and answers process questions with indexing and retrieval instead of manual searching.

8. AI-powered freight forwarding quotation

A quotation assistant that analyses internal business data, historical information, customer requirements and external information to help prepare competitive quotations from an emailed requirement.

Web & mobile integration

All eight capabilities are integrated into the existing web and mobile applications rather than delivered as standalone tools. Users access AI directly from their existing workflows, with the platform's own authorisation rules applied to every request.

Have a programme like this in mind?

If your operation has documents being re-typed, reports being assembled by hand or standards being checked manually, there is usually a workstream in it.
